Change Order Processing
The Change Order Process is designed to allow the user to document a requested change to a Spend Request, Purchase Order, Quote or Service Order. There are three sections to the CO: Approval Amount, Period of Performance Dates and Notes.
The first two apply only to Spend Requests. The notes are used to describe any other change that might need to take place (i.e. change of manufacture, vendor, part numbers, quantities, etc.)
The final approver in all cases is the Procurement Specialist. The Specialist is the QA control point to ensure that changes requested in the notes area are feasible and in line with the intent of the SR.
If the intent of the Change Order is to increase the funds allocated by the SR, the Change Order will automatically be routed through the same approvals as the original Spend Request.
Key Change Order Features:
- Ensures all changes are clearly recorded and provide an audit trail
- Change Orders may be issued for any reason against any Spend Request, Purchase Order or Service Order
- Any funds increase are rerouted for approvals
- They are designed to be self documenting
