let’s say the procurement process is complete and the item
has been received, how can we make certain that it actually arrives
where it’s supposed to be and stays there? What happens if
it is assigned to a different user or location?
Once a purchase order has been entered into our system, and that
item has been fulfilled, we know who ordered it and where it is
supposed to go. Any changes are also tracked and updated. As the
information becomes available we can add the carton ID, the serial
ID, asset tag number, model or manufactured part number, etc.
At check-in a quick scan will key the item into our system, match
it with the purchase order, and record any necessary additional
information including the date, time and the personnel involved
at each stage. If manual data entry is needed, the data can be added
via the PDA function on the scanning device.
We can now use a mobile bar code printer to create an asset tag
that can be affixed to the item, complete with an assigned bar code
that contains all the pertinent information. It can be assigned
to a person, location and/or a profit center. It can be scanned
for easy identification and inventory at any time.
The person accepting it must acknowledge the receipt, which is recorded
by signature capture and is also uploaded into the system. That
person has accepted full responsibility for that asset.
If the item is reassigned, taken out of service, or destroyed, Prorizon
will be able to track it according to the same procedure. The person
relinquishing control “signs” it out and the person receiving
it accepts the transfer. It is all recorded and tracked as efficiently
and automatically as possible.
